A plain-language guide to how we handle your data

ℹ️ The short version
The Simployer One app is a mobile window into the same HR platform your employer already uses. We take the security and privacy of your data seriously. Your HR data belongs to your employer — we just make it accessible for you. We don't sell your data, we don't use it for advertising, and we don't train AI models on it. Everything is hosted in Europe and encrypted.
What is this app?
The Simployer One app gives you mobile access to your employer's HR platform. You can check your schedule, request leave, sign documents, see your goals, and more — all from your phone. It's the same Simployer One you may already know from your desktop browser, just in a native app.
This privacy policy explains what information the app uses, why, and how we keep it safe.
Who is responsible for your data?
There are two parties involved:
- Your employer decides what HR data is stored and how long it's kept. They are the "data controller" for your employment data (your personal details, absence records, contracts, etc.). If you have questions about that data, your employer is the right contact.
- Simployer provides the technology and keeps it running securely. We are responsible for how the app itself works — things like your login, push notifications, and technical logs. For those things, Simployer AS (org. no. 986 419 454) is the data controller.

Think of it like renting an office: your employer decides what happens inside it, and Simployer makes sure the building is secure and the lights are on.
What data does the app use?
To let you log in and use the app
Your name, email, and login details. If your employer uses single sign-on (e.g., Microsoft), we receive a verification from that service.
To keep the app running smoothly
Technical information like your device type, operating system, app version, and IP address. We also collect crash reports so we can fix problems quickly.
To send you notifications
If you allow notifications, we store a push notification token so we can alert you about things like pending approvals or absence updates. You can turn this off at any time in your phone's settings.
Your HR data
When you open the app, you see your employment information — the same data that's in Simployer One on your desktop. This data is managed by your employer, not by us. We display it for you securely but don't make any independent decisions about it.
What we don't do with your data
- We don't sell your personal data. Not to advertisers, not to data brokers, not to anyone.
- We don't use your data for advertising or marketing profiling.
- We don't train AI models on your personal data.
- We don't share your HR data with anyone other than your employer.
What about AI features?
Simployer One may include AI-powered features, like an assistant that can answer HR questions. These features run on servers in Europe (Microsoft Azure) and only work with data that's already part of your employer's Simployer setup. Your data is not used to train or improve the AI models themselves.
Where is your data stored?
All customer data is hosted in the EU/EEA, primarily in data centers in the Netherlands, Ireland, Norway, and Germany. We use well-known, certified hosting partners — Microsoft Azure, AWS, and Google Cloud — all of which hold ISO 27001 certification.
A small number of supporting services (such as the email delivery service) may involve companies headquartered in the US. In those cases, we have legal agreements in place (including EU Standard Contractual Clauses) and technical safeguards to protect your data. How do we protect your data?
Security is a core part of what we do. Here are some of the ways we keep your data safe:
- All communication between the app and our servers is encrypted (TLS 1.2+).
- Data stored on our servers is encrypted at rest.
- We support multi-factor authentication and single sign-on.
- Access to data is strictly controlled — you only see what you're supposed to see.
- Our systems are continuously monitored for security threats.
- Independent security experts regularly test our defenses (penetration testing).
- We are audited annually by PwC and are working towards ISO 27001 certification.

How long do we keep your data?
- Your account data: For as long as your employer gives you access to Simployer One.
- Technical logs: Between 2 and 12 months, depending on the type. Login logs are kept for 3 months.
- Push notification tokens: Until you uninstall the app or turn off notifications.
- Your HR data: Your employer decides. After the service agreement ends, we keep a backup for up to 3 months, then delete it.
Your rights
Under European data protection law (GDPR), you have the right to:
- See what personal data we hold about you
- Ask us to correct mistakes
- Ask us to delete your data (where legally possible)
- Ask us to limit how we use your data
- Get a copy of your data in a portable format
- Object to certain types of processing

Children's privacy
This app is designed for employees of our business customers. It is not intended for children under 16, and we do not knowingly collect their data.
Changes to this policy
If we make important changes to this privacy policy, we'll let you know through the app or other appropriate channels. The latest version is always available at the URL linked in the app stores.
